You say “track everything”, what exactly does that include?
The list is long, but here are some examples… Inventory, parts, tools, rain water collection levels, equipment, phones, computers, office furniture, office supplies, personal items, leases, photos, towers, software, proof of purchase, warranties, documents, buildings, land, you name it! Keep track of just about anything.

How many things can I track at once?
It’s unlimited Asset Tracking, meaning you won’t get charged more for having more things!

What mobile operating systems does Sitehound work with?
Sitehound works on both the Android and iOS operating systems. You can download the application from the Google Play Store or Apple App Store.

Is additional hardware other than your mobile device required to track with Sitehound?
Absolutely not! With our built-in scanning and tracking through our iOS and Android Apps, it isn’t needed in a lot of cases. However, depending on what your needs are, we do offer a wide range of products that you can implement, based on your business needs. How many users can I have at one time?
You can have as many users as you want, just remember we charge per each active user.

How many organizations can I have at one time?
For the 14-day Free Trial, you get 1 organization, after the trial you get up to 3 organizations or more depending on your package. If you need more, you can purchase additional organizations by contacting us here.

Wait. What’s an organization again?
Organizations are how Sitehound segregates data. This allows you to keep data for different groups apart from one another.

How much space do I get for adding things like documents and videos?
You get up to 10 GB of storage included with your subscription. If you exceed your storage limit, we will notify you. Additional storage can be purchased with the application billing area by the billing account user.

Is my information protected and secure?
Yes. We use AWS for our cloud servers and they are the industry standard for security. With AES-256 encryption, you can be sure that your data is safe!

How many users can I have at one time?
You can have as many users as you want, just remember we charge per each active user.

Our company is larger, and we need help setting up and getting started, do you offer setup assistance?
Absolutely! Contact us here and we would love to discuss pricing to help get things setup. We have a great team to help!

How can I unsubscribe from your emails?
When you sign up for a trial, you are automatically added to our mailing list, you can unsubscribe at any time at the bottom of any email we send out.

Billing

How can I log in to see my billing history?
The billing account user can see their billing history in the application.

Do you offer discounts?
Yes, when signing up for an annual subscription and prepaying for the year per user you’ll receive a 20% discount.

What happens if my billing information changes?
You are responsible for keeping up your billing information within Sitehound if it changes.

What if I add a user during the middle of my monthly billing subscription?
You will be charged a prorated price for that user immediately.

What if I remove a user in the middle of my monthly billing subscription? Will I get a credit?
You will not get a credit for that user.

What happens when my Trial is over?
If you don’t cancel the trial before the 14 days, your billing information on file will be charged based on the number of active users.

How can I cancel my subscription?
If you are a billing account owner of Sitehound, you can cancel your subscription in the application.

What happens if I cancel before my 14-day free trial ends or before the next billing cycle?
You will have access to your trial for the remainder of your billing period.

Do you offer refunds?
We do not offer refunds.

How long do you hold on to my data if my subscription ends?
We will delete our Sitehound instance and all your data 30 days after your subscription ends.
Using Sitehound

How do I add data to Sitehound
Users can add data to the system by importing spreadsheets, manually adding them through our mobile or web apps, or connecting to a 3rd party system.

What happens if I exceed my storage limit?
1. Have the billing account user log in to Sitehound.
2. Click on the System Admin Console top right corner.
3. Click on the Billing tab.
4. Click on the View Account button.
5. Select the plan you want to upgrade to for storage.

How do I add users?
1. Log in to Sitehound.
2. Click on the Users module.
3. Click on Invite to Organization.
4. Enter the user’s email address (*you can also add bulk users by uploading a spreadsheet of user email addresses).
5. Click +Invite – an email will be sent to the user’s email address with instructions for registration.
6. A modal will pop up and allow you to assign a role to the user (you can choose to add a role to the user or do it later.

How do I setup/change user roles and permissions?
1. Log in to Sitehound.
2. Click on Organization name in the top right corner.
3. Select Settings from the dropdown menu.
4. Select the role you want to add/change for the user.
5. You can add or remove users from the selected role and save.

What currencies does Sitehound support?
Sitehound supports a wide variety of global currency symbols, but does not currently support conversion between currencies.
Barcode Labels and Scanning Hardware

Do I need to buy hardware to scan barcodes?
No. Sitehound has an integrated barcode scanning function included in the mobile application. Any user with a mobile device can quickly get started with scanning records to improve the accuracy of your data.

Can I use 3rd party scanning hardware if I want?
Yes. Our mobile application will work on 3rd party scanners. In conjunction with our partners, we can also help you acquire asset tracking hardware. Contact us here to learn more.

Do I need to buy barcode labels?
If you want to print your own barcodes, you can easily do so with the barcode module built into Sitehound’s web application.
If you need barcodes that can stand up to heat, moisture, chemicals or other environmental hazards, with the help of our partners, we can help you acquire those pre-printed labels. Contact us here to learn more.

Is Sitehound secure?
Sitehound’s Software as A Service (SaaS) implementation and its data are hosted by Amazon Web Services (AWS) EC2 and S3. Data exchange uses a 256 bit encryption SSL.

Is Sitehound PCI compliant?
Yes. Sitehound’s payment system is PCI DSS compliant.

How does Sitehound help clients reduce costs and increase profits?
Sitehound clients can save money on taxes and insurance by keeping track of all their assets in one central system. The Sitehound keeps track of the location and maintenance records for products, so there’s never a double-purchase. In addition, the app helps with audits by simplifying reporting and facilitates more efficient budgets that factor in risk management.

Ghost Assets? Tell me more.
An often overlooked accounting issue, ghost assets are property that is lost, stolen, or otherwise unusable and is listed as an active fixed asset on a business’s books. Approximately 10%-30% of fixed assets on a business’s financial statement are ghost assets – meaning that you could be overpaying taxes and insurance by 30% at the least. Once you find these ghost assets, remove them from your financial statements so that you can demonstrate you are no longer in possession of the asset.

How can Sitehound help save money on taxes?
Most companies are subject to property taxes based on the total value of their physical assets. However, keeping accurate records and eliminating any “ghost” assets will allow a company to make sure they don’t overpay for those taxes. By using the tips above, companies can reap the tax benefits that come with property taxes in both federal and state jurisdictions by earning it back from goods that have been lost instead of subtracting from assets that have already been fully depreciated.

What about insurance? How can Sitehound help save money there?
Property taxes are typically based on the total value of your assets. If you have too many ghost assets, it’ll make the total value of your property artificially high which means you’ll pay more in property taxes.
